How to choose a grant call that fits your project
A large award is not a good opportunity if your organisation cannot apply or your project does not fit the call. Before writing, make a one-page decision brief. Its purpose is to help your team decide where to invest its time.
Start with the project, not the funder
Write down the problem, who experiences it and what will change. State the planned activities, location and delivery period. If these change completely when you read a call, ask whether you are still pursuing your organisation’s priority.
Check eligibility before scoring attractiveness
Use the actual call documents. Record the permitted applicant type, country or region, required partners, project stage and exclusions. Separate evidence you already hold from documents you still need. A high score for an attractive grant does not cancel a mandatory eligibility failure.
Compare scope and evidence
Match each programme objective with your proposed result and its evidence. For an innovation project, explain what is new and how you will test it. For a community project, show the need and the intended benefit. Avoid adding unrelated activities simply because the form has room for them.
Test delivery and cash requirements
Identify the team that would deliver the work, available time and essential partners. Check what costs are eligible, what contribution may be required and when payments would be made. The awarded amount and the cash needed to run the project are not necessarily the same.
Use a decision table
For each call, record: eligibility — yes, no or unresolved; objective fit — strong or weak; evidence — ready or missing; team capacity — available or unavailable; financial conditions — understood or unresolved; deadline — achievable or unrealistic. Assign an owner to every unresolved item.
Decide before drafting
Choose one of three outcomes: apply, clarify first or do not apply. Keep the reason in your records. This makes the next opportunity easier to assess and prevents the team from repeatedly revisiting unsuitable calls.
